1. Who we are

Foxie Campers (“we”, “us”) is the data controller for the personal data described here.

2. What we collect

• Booking & contact details — your name, email, phone number, country, driving licence number, and flight number when provided.
• Rental details — the vehicle, dates, pickup location, insurance and extras you select, and your booking reference.
• Payment information — card payments are processed by our payment provider (Rapyd). We do not see or store your full card number; we receive only a confirmation and the amount paid.
• Website usage — the basic information every browser sends to every website (IP address, device and browser type). Essential cookies keep the site working and remember your booking choices (see section 8). Google Analytics runs only if you click Accept in the cookie banner; if you click Decline, it doesn’t. Cloudflare Web Analytics counts visits without cookies and without identifying you.
• Live chat messages — if you use our on-site chat, we store your name, email, optional booking reference, and the message text on Foxie systems in the European Union. We use that data only to answer you (by chat or email) and to link the conversation to your booking when the details match. We do not sell chat content or use it for marketing. While the chat is open, staff can see messages and text typed in the chat box in real time. If you send a photo, we keep it with the chat after removing its location data. Chat conversations, including any email you leave and any photos, are deleted automatically 4 days after the last message.
• Anonymous live page visits — when live chat is enabled, we briefly see which public pages are open right now (page path, country and approximate city, device class, language, and how you arrived) so staff can offer help. That presence is kept in server memory only for about two minutes after your last page signal, is not stored as a personal profile, and uses no fingerprint. One small first-party cookie (fx_visits) counts how many times your browser has visited and when you were last here, so staff can see returning visits; it holds no name, email or IP address, is not shared, and expires after 13 months. We may keep anonymous daily totals (page × country × device × source counts) with no visitor ids. On camper and checkout pages we also see which camper and dates you are looking at (no other booking details). If you start a chat, a copy of that tab’s page trail, country/device/source and the camper and dates is saved with the conversation, like the messages. Chat conversations, including any email you leave and any photos you send, are deleted automatically 4 days after the last message. Photos are re-saved without their location data. Chat messages may be machine-translated by DeepL SE (Germany) so our team can read and answer them in your language.
• Trip planner emails — if you ask our trip planner to email you your plan, we use that address only to send the plan once. The email is kept in our normal sent-mail log; we don't add you to any list or use it for marketing.
• Camper GPS — every Foxie camper has a GPS tracker. It sends the camper’s position, speed and ignition state to our office, where we use it to look after the vehicle and you on the road: breakdowns, theft, closed or forbidden roads, and opening our gate when you return. The position history is deleted automatically after 30 days. During your rental you can also see your own camper’s last position in the trip planner in My booking: only through your private booking link, only from pick-up until you return the camper, and without a trail of where you have driven. You can hide it there at any time.

3. How we use your data & our legal basis

• To provide your rental — take and manage your booking, hand over and receive the camper, and give you support. If you start a booking and leave before paying, we may send one reminder email about that unfinished booking. (Legal basis: performance of a contract.)
• To meet legal duties — accounting, tax and vehicle records. (Legal basis: legal obligation.)
• To run and protect our business — prevent fraud, secure our systems, and improve our service. (Legal basis: legitimate interests.)
• Marketing — we do not currently send marketing emails. If that changes, we will email you only if you opt in, and you can unsubscribe at any time. (Legal basis: consent.)

4. Who we share it with

We share data only with providers that help us run the service, under contracts that require them to protect it:

• Rapyd — payment processing.
• Hetzner — website and data hosting (servers in the EU).
• Cloudflare — media delivery / content-delivery network, and Cloudflare Web Analytics: anonymous visit counts, no cookies.
• Google Workspace — our business email.
• Google Analytics — shows us which pages are visited and where visitors come from, only if you click Accept. We don’t use Google for advertising.

We never sell your personal data. We may disclose data where required by law.

5. International transfers

Some providers may process data outside Iceland/the EEA. Where that happens — for example Google Workspace (US), Google Analytics (US), and Cloudflare (US) — we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

6. How long we keep it

We keep booking and financial records for as long as required by Icelandic bookkeeping and tax law (generally seven years). Other personal data is deleted when it is no longer needed for the purposes above.

7. Your rights

Under the GDPR you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data erased where the law allows;
• restrict or object to certain processing;
• receive your data in a portable format;
• withdraw consent at any time (where we rely on consent).

To exercise any of these, email info@foxiecampers.is. You also have the right to complain to the Icelandic Data Protection Authority, Persónuvernd (personuvernd.is).

8. Cookies

We use essential cookies that keep the site working and remember your booking choices, and one small visit-counter cookie (fx_visits, see “Anonymous live page visits” above). It only stores how many times your browser has visited and the date of your last visit, holds no name, email or IP address, is never shared, and expires after 13 months. You can delete it in your browser at any time. We don’t use advertising cookies. Cloudflare Web Analytics counts visits without cookies and without identifying you.

Analytics cookies are only set if you click Accept in the cookie banner. Then Google Analytics records which pages you visit, how you found us (for example a Google search or a link), your approximate location (country or city), your device and browser type and, if you book, the booking reference, amount and camper. It never receives your name, email or phone number, and Google Analytics does not store your IP address. We keep this data for 14 months and use it only to improve the website and see which channels bring bookings. We don’t use Google for advertising.

If you click Decline, no analytics cookies are set. Google then only receives an anonymous signal that a page was viewed, without any identifier that could recognise you. We remember your choice for six months; change it at any time with Cookie settings at the bottom of every page.

We may update this policy from time to time. The current version is always available on this page.
